1. Who we are

This Privacy Policy applies to Stay Beachside Pty Ltd (ABN 67 687 868 391), trading as Stay Beachside, a licensed Queensland real estate agency (“we”, “us”, “our”). It explains how we collect, hold, use and disclose personal information, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy covers staybeachside.com.au (the site), bookings and stays at properties we manage, enquiries about our property management services, and our marketing communications.

2. What we collect

Guests and people making bookings. Your name, email address, phone number, home address, the details of your booking and your party, payment information, identification provided during online check-in, and any correspondence with us before, during or after your stay.

Property owners and owner enquiries. Your name, contact details, property details, and the financial information needed to manage your property and account to you, including bank account details for owner payments.

Site visitors and newsletter subscribers. Your email address when you subscribe, and technical information collected automatically when you use the site, such as your IP address, browser type, pages visited and referring site, collected through cookies and analytics tools.

Payment card details are collected and processed by our payment provider, Kovena. Full card numbers are held by Kovena under its own security standards and are not stored by us.

3. How we collect it

We collect personal information directly from you: when you make a booking or enquiry on the site, complete online check-in, book through a third-party platform such as Airbnb, Booking.com or VRBO (which passes your details to us to deliver your stay), subscribe to our newsletter, or communicate with us by email, phone, SMS or through a booking platform.

4. Why we collect and use it

We collect and use personal information to:

  • take, confirm and manage bookings, and deliver your stay, including access details and your digital property guide;
  • verify identity and prevent fraud, as described in our Booking Terms and Conditions;
  • process payments, pre-authorisations and refunds through Kovena;
  • communicate with you about your booking, your stay or your enquiry;
  • manage properties on behalf of their owners, including reporting and trust accounting under the Property Occupations Act 2014 (Qld);
  • send our newsletter and direct-booking offers, where you have subscribed or would reasonably expect to hear from us, always with an unsubscribe option;
  • improve the site and our services; and
  • comply with our legal obligations, including record-keeping as a licensed agency.

5. Who we share it with

We share personal information only where necessary to deliver our services:

  • the owner of the property you book, where relevant to your stay;
  • our contractors, including cleaners, linen services and trades, limited to what they need to prepare and maintain the property;
  • building and resort management, where a property is in a managed building or complex;
  • Kovena, our payment provider, to process payments;
  • booking platforms (Airbnb, Booking.com, VRBO), where your booking is made or managed through them;
  • our professional advisers, including accountants, auditors and lawyers, under obligations of confidentiality; and
  • regulators, law enforcement and courts, where we are required by law to do so.

We do not sell personal information, and we do not share it with third parties for their own marketing.

6. Overseas disclosure

Some of the service providers we use, including booking platforms and technology providers, may store or process information outside Australia. Where they do, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

7. Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Information is held in secure, access-controlled systems. We retain personal information only as long as it is needed for the purposes described in this policy, or as required by law, including the record-keeping requirements that apply to us as a licensed Queensland real estate agency, and then take reasonable steps to destroy or de-identify it.

8. Cookies and analytics

The site uses cookies and analytics tools to operate properly, remember your preferences and help us understand how the site is used. You can control or disable cookies through your browser settings; parts of the site may not work fully without them.

9. Access, correction and marketing choices

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact us at hello@staybeachside.com.au and we will respond within a reasonable time.

You can unsubscribe from our marketing at any time using the link in any newsletter, or by emailing hello@staybeachside.com.au. We will still send you communications necessary to deliver a booking you have made.

10. Complaints

If you believe we have mishandled your personal information, contact us at hello@staybeachside.com.au and we will investigate and respond within a reasonable time. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Changes to this policy

We may update this policy from time to time. The current version is always available at staybeachside.com.au/privacy-policy.
